Start your adventure with Scout
You do not need to work through the settings wizard. Your draft and conversation are saved. Initial setup and corrections use the onboarding budget, not monthly AI credits.
Steps
- 1Add your campground website or public booking listing and any files you already have in the same starting screen. Scout follows relevant public pages and gathers source-linked details, branding and images into a private draft. Drop individual files, folders or a ZIP. Scout reads Excel (XLSX), Word (DOCX), PDF, CSV/TSV/TXT and common photos including HEIC. Limits: 25 MB per ZIP, 10 MB per document/photo, 2 MB per text file, and 80 prepared files / 40 MB total. Website exploration samples up to 14 relevant pages and 12 images/documents. Some booking sites block automated access or need JavaScript; upload exports in that case. Unsupported or skipped files are reported.
- 2Drop maps, photos, site/rate CSVs, and policy PDFs or text files alongside your website link. Add an optional short note or quick site counts, then choose Scout, build my campground. Scout reads the source bundle and prepares a visual draft; questions come after source collection and focus on missing or conflicting essentials. There is no separate section setup.
- 3For a cancellation policy, choose Scout, help me write one, select your refund preferences and review the generated wording. Guest-facing policy text does not automatically enable self-serve cancellation or refunds. In Make it yours, add photos, assign them to stays and let Scout draft descriptions for your approval; this stage can be deferred.
- 4Choose Scout, build my campground to prepare the draft. Watch Scout’s live exploration progress, then choose Explore my draft from the first-look reveal. Additional uploads are optional. Review its stay cards, rates, descriptions, map, photos, logo/color, extras, guest rules and supported stay restrictions. Unknown prices are not guessed; unsupported rules stay in source notes for follow-up. Drag photos onto a stay group or choose a named site in the placement menu. Review with Scout resolves missing details; final approval saves the configuration and opens your launch review. Scout stays with you after setup.
Preview before publishing
Applying setup does not publish your campground. Review a sample booking and complete launch checks. Import existing reservations before opening availability. Online guest payments require a separate Stripe connection and verification; the subscription card does not connect your payouts.
We aim for a configured preview in under five minutes when your basic details are available. Verification and complex migrations may take longer.
Moving from Hipcamp, Campspot or another system
Choose I’m moving to CampGrid, select your previous system and upload a reservation CSV. Review matched columns, choose the date format and check the sample before keeping the reservations for final approval. Up to 500 reservations and 2 MB can be staged during setup; larger migrations use the existing batch import after setup, before publishing.
Use a booking export with assigned sites, guest names and emails, arrival and departure dates, status, reservation totals and amounts paid. Payout reports cannot recreate reservations. Report layouts differ: map unrecognized columns or add missing information to the CSV, then upload it again. Campspot daily add-on rows are excluded from reservation imports.
Scout preserves exact site names from staged bookings and asks for missing site types, rates and campground details. Final approval checks site matches, capacities, overlapping stays and balances, then saves setup and reservations together. Errors leave the draft intact. Imported money is an opening lodging balance; historical tax line items, add-ons and refunds are not reconstructed, and no guest email is sent by the import. Review accounting before launch.
Site lists, rate sheets and policies can be attached in the conversation. Use the dedicated booking import for guest reservation files so dates and money are validated without being rewritten by AI.
If setup is interrupted
Return to AI Onboarding to resume your saved draft. Retry an interrupted request or correct a detail in the conversation. Contact support in the app if you cannot continue; your saved draft remains available. Settings are available after setup for ongoing changes.
