Manual Bookings

Create and manage reservations that come from phone calls, walk-ins, or staff work.

Before you start

  • Choose the property and date range in the dashboard or reservations workspace.
  • Know the guest name, email, dates, and site.
  • Know whether the booking should be pending or confirmed.

When to create a manual booking

Use manual bookings for reservations that your team takes outside the public booking page. Manual bookings block availability just like guest-created bookings.

If the date should be unavailable but you do not want a guest record, use a blackout window instead.

Create a manual reservation

The dashboard checks availability before saving the booking.

Steps

  1. 1Open Dashboard or Reservations.
  2. 2Select the property, date range, and calendar view.
  3. 3Choose New reservation.
  4. 4Enter guest details, stay dates, site, add-ons, pricing adjustments, and payment information.
  5. 5Save as pending if staff still needs to approve it.
  6. 6Confirm once the stay is accepted.

Record offline payments

Offline payment records are operational notes. Use them for cash, check, terminal, bank transfer, or another payment system outside CampGrid.

Recording an offline payment or refund updates the booking balance inside CampGrid, but it does not move money through Stripe.

Keep the calendar trustworthy

A dashboard is only useful if staff trust it. Confirm date changes, cancellations, refunds, check-ins, and check-outs in CampGrid when they happen elsewhere.

Check

  • Same-day turnovers appear on the calendar.
  • Cancelled stays no longer block availability.
  • Manual payment notes match your external records.
  • Stay changes show the right balance due or refund due before you save.
  • Check-in, check-out, and folio details are up to date for front desk work.
  • Guest email is present when you expect automatic messages.
